Who makes Timecrumbs

Timecrumbs is made by Firmware, LLC, an Idaho company. Email is the fastest way to reach us.

Send a support file

In Timecrumbs, open Help and choose Save a Support File. It saves one file with your version, your settings, and (only if you say yes) three days of window titles. Screenshots and sign-ins are never included. Attach it to your email.

Getting started

Add or import your projects

Open Timecrumbs, click Settings, then Projects and Open Projects. Add projects by hand, or click Import and choose a CSV or Excel file exported from your project management or accounting system. Timecrumbs guesses which columns hold the number and name and shows you what will change before it saves.

If people call a project something other than its official name, add that as an alias ("Acme" for "Acme Logistics Network Study"). Timecrumbs will recognize it too.

Share one project list with the office

In the Projects window, click Sharing, then Share this list, and pick a folder everyone already syncs (OneDrive, Dropbox, or a network drive). Colleagues choose Use a shared list and pick the same file. Everyone keeps an offline copy.

Connect your calendar

Click Connect Calendar in the day view and choose Microsoft 365. Sign in with the work or school account your meetings are on. Google Calendar is coming soon. Meetings you accepted become suggested entries; declined, cancelled, and "free" events are ignored.

Review your day

Each day shows your Activity Log on the left and your Time Entries beside it. Dashed outlines are suggestions: click one to open it, check the project and phase, add a note, and save.

Wrong project? Click the × on the suggestion, or right-click it and choose Log under a different project. Timecrumbs remembers the correction.

Get your hours into your timesheet

The Week Summary on the right totals your hours by project, phase, and day. Click any number to copy it.

Or click Export to save a PDF timesheet (totals by project, every entry by day, and optional signature lines) or a CSV spreadsheet with one row per entry for your billing system. Both work for any date range.

Make a report for one project

Click Reports in the top bar, type the project's number or name, and pick the dates: Last month, This month, Last 30 days, Last 90 days, This year, All time, or your own range. Narrow it to one phase if you like. You can also select a project in the Projects window and click Report….

With Itemize every entry on, the report lists each entry with its note. Turn it off for one line per day with that day's total and notes. Then click Export PDF… for a report to send your client, with your name under Prepared by, or Export CSV… for a spreadsheet. A report covers your own entries, the ones on your computer.

Change how hours are shown and billed

Click Settings in the top bar, then Time and display. Show hours as chooses decimals (1.5) or hours and minutes (1:30). Entries land on a 6-minute grid for decimals and a 5-minute grid for hours and minutes.

Billed hours sets how the Week Summary, reports, and exports round your time: Exact, or the nearest 15 or 30 minutes. Rounding happens once per project per day, and leftover minutes carry to that project's next day in the week, so your totals stay true. A billing system you connect always gets your exact time and rounds it with its own settings.

Require notes on time entries

In Settings, Time and display, set Time entry notes to Required, Recommended, or Optional. With Required, an entry can't be saved without a note; clicking a suggestion asks for the note in a small box, and entries still missing one are marked and aren't sent to a connected billing system.

Set things for the whole firm

Once your project list is shared, Settings, Team lets you decide, setting by setting, whether each person picks their own, the firm suggests a default, or the firm sets it for everyone. The same page holds your firm's name. Anyone who can make changes to the shared project list can change these settings.

Move to a new computer

On the old computer, open Settings, Import/Export, and click Export to a File. You get one file with your activity, time entries, projects, and settings. Screenshots and sign-ins are optional; sign-ins are locked with a password you choose.

Copy the file to the new computer (a USB drive or your own OneDrive works well), install Timecrumbs, and choose Import My Data on the welcome screen, or Settings, Import/Export, Import a Data File. The file holds your window titles and notes, so keep it private and delete it once it's imported.

To move your license, open Help, License on the old computer and remove it, then enter the same key on the new one.

Change phases and categories

When you first open Timecrumbs it asks what kind of work you do and fills in phases and non-project categories to match. Edit either list at any time from the entry window.

Common problems

I don't see any suggestions

Check that the clock is in the system tray (the recorder must be running) and that your project list isn't empty. Timecrumbs matches your work to the projects on your list, so it helps when a project's name or number shows up in your file names, folders, or email subjects. If it doesn't, give the project an alias that does.

Time is going to the wrong project

Correct the entry once. If two projects have similar names, add an alias to the right one, or select finished projects in the Projects window and click Retire so they stop matching.

Calendar sign-in fails or meetings are missing

Click Connect Calendar again: Timecrumbs shows what went wrong. A new work account sometimes has no mailbox for the first day or two. If your IT department blocks new apps, they may need to approve Timecrumbs in Microsoft Entra ID.

Pausing or turning off screenshots

Use Pause 30 min or the Screenshots button in the day view, or the tray menu. You can delete any screenshot, or every screenshot for a block, from Screenshot Review.

Uninstalling

Use Windows Settings, Apps. Your data is left in place in case you reinstall. To remove it too, delete %LOCALAPPDATA%\Timecrumbs and %APPDATA%\Timecrumbs.
